Building a document workflow knowledge system that scales

By ConvertThoseFiles Team

A knowledge system isn't a wiki — it's the set of repeatable workflows your team can run without thinking. Documents are usually the worst-organized part of it.

The four pillars - **Templates** for every recurring packet shape. - **Recurrence** for everything that ships on a cadence. - **History** so you can rerun, retry, and audit. - **Discovery** — a [category hub](/workflows) so newcomers find the right workflow fast.

Anti-patterns - One-off shared drives full of `final_v3_REAL.pdf`. - "Tribal knowledge" about which file is the source of truth. - Re-running the same 5-step process from memory every month.

The shift Treat workflows as first-class artifacts. Name them, save them, schedule them. The library compounds — every month it's worth more than the last.
